General conditions and cancellation policy

Date and Location
  • The XVI Biennial IASC-Conference (IASC2017) will take place July 10-14, 2017, in the City of Utrecht, The Netherlands, and will be hosted by the Research Team ‘Institutions for Collective Action’ and the researchers affiliated with the Strategic Theme ‘Institutions of Open Societies’, based at Utrecht University.
  • Pre-conference workshops and pre-conference excursions organized on Saturday July 8, 2017 and/or Sunday July 9, 2017 will also form part of this conference.
  • Program and venues will be displayed at the conference website www.iasc2017.org. The organizers are free to change the program and/or venues if and when required. All changes will be announced via the conference website as soon as possible.
Registration and payment
  • Registration will be confirmed after payment has been received.
  • To enable as much participants to join the conference, registration fees are wage-dependent; conference organizers trust the participants to register truthfully.
  • Early Bird rates apply until and including May 30, 2017. As of June 1, 2017, regular rates apply. All fees can be found at www.iasc2017.org/fees.
  • The conference fee includes:
    • free access to the opening and closing events of IASC2017
    • free access to keynote lectures of IASC2017
    • IASC2017 conference lunches on Monday, Tuesday, Wednesday, and Friday
    • participation in Dance Workshop (excluding drinks and consumptions)
    • access to all presentation sessions of papers/practitioners’ labs/posters.
  • For some events prior registration and a maximum attendance may apply due to catering and/or safety reasons.
Cancellation by participant
  • Cancellation can only be done in writing via iasc2017@iasc2017.org.
  • The following cancellation policy will apply:

Cancellation by organizers
  • In case of reasons beyond control of the conference organizers (such as war, strikes, lockouts, riots or any such civil disturbances, terrorist activities, or any natural disasters, or any other cause of circumstance of whatsoever nature beyond the control of the conference organizers and hosting institution) that have an impact on the arrangements, timetables, or planning of the IASC2017 Conference and its corresponding activities, the conference organizers will have the right to immediately alter or cancel the activities or events or any of the arrangements, timetables, plans, or other items relating directly or indirectly thereto.
  • No party involved shall be entitled to any compensation for damages that result from such alteration or cancellation.
Privacy and publication issues
  • All personal data provided will only be used for communication with the participants by the conference organizers and for communication between the IASC and the conference participants.
  • No data will be transferred to any third party, except in cases where there will be legal requirement to transfer data in order to organize any part of IASC2017. In such cases, transfer of data will be on the conditions that (a) only relevant data required to organize the related conference activity will be transferred and (b) the conference organizers will ensure that any third party involved will only use the data for the purpose the data have been transferred for and (c) that these data will be destroyed by the third party after the activity the data were required for.
  • By participating in IASC2017, participants implicitly and explicitly declare to be aware:
    • any part of the conference may be recorded and published via any means of communication and will waive any portrait right claims.
    • abstracts will be published online and in print in the conference programme
    • full papers will be published online as PDF on the conference website www.iasc2017.org
  • In case of any copyright issues, authors should contact the conference organizers beforehand via iasc2017@iasc2017.org
  • Conference organizers cannot be held responsible for any consequences from any IASC-related publication, other than in cause of gross negligence.
Liability
  • By participating in IASC2017, participants implicitly and explicitly declare to have arranged proper, health, travel, and any other required insurances themselves.
  • All claims and judicial issues will be dealt with according to Dutch law.
  • The conference organizers will aim to do whatever is possible to help out participants in need, but cannot be held responsible for any damage caused, other than with aforethought or by gross negligence by the conference organizer.
  • Neither the conference organizers nor any of the participating organizations in the conference can be held individually responsible for any damage caused, other than with aforethought or by gross negligence.
  • The participants take part in all excursions/tours at their own risk.
  • Any verbal agreement can only be considered as binding when confirmed in writing by the Conference Chair or the IASC Executive Director.
Other issues
  • Any issues not mentioned above will be dealt with by the conference organizers, the hosting institution(s), any third party involved, the IASC, and the participant, in good understanding and according to Dutch law.
